Rachel Sinclair Photography
Terms & Conditions

These Terms & Conditions apply to family and dog photography sessions provided by Rachel Sinclair Photography. By booking and paying the session fee, you confirm that you have read, understood and agreed to these terms.

1. Booking Your Session

Your photography session is secured once the £175 session fee has been paid.

Before booking, we’ll have a friendly consultation to talk about you and your dog, their personality and individual needs, and the type of photographs you would love to create. We’ll also discuss suitable locations, the time of year and whether your dog needs to remain on a lead. This is the time for you to declare any behavioural needs of your dog, especially if I am at risk of being bitten or injured by working with your dog.

Your booking is not confirmed until the session fee has been received.

2. Session Fee & Artwork

The session fee is £175 and includes £100 credit towards wall art or albums purchased following your session.

Wall art currently starts from £350, and clients typically invest between £350 and £800 in their finished artwork.

Prices will be confirmed before your session and are subject to change. Any changes to product prices after you have booked will not affect orders placed at prices already agreed.

3. Digital Images

Rachel Sinclair Photography specialises in creating beautiful, professionally made wall art and albums designed to be enjoyed in your home for many years.

Digital files are not offered as a standalone alternative to artwork.

Matching digital files are included with artwork ordered, in accordance with the product and collection purchased.

4. Dogs & Their Behaviour

You know your dog better than anyone, so please tell me before your session about anything that may affect them, including nervousness, reactivity, mobility difficulties or anything they particularly dislike.

Dogs do not need to be perfectly trained or able to sit and stay. I have extensive experience photographing dogs with different personalities, temperaments and energy levels, and sessions are designed to be relaxed and enjoyable.

The safety and wellbeing of your dog, other people and other animals always comes first.

Owners remain responsible for the supervision, control and behaviour of their dogs throughout the session.

5. Nervous & Rescue Dogs

If your dog is nervous, a rescue or has particular behavioural needs, please let me know before booking.

Wherever possible, the session will be planned around your dog's individual needs, including choosing an appropriate location and allowing them time and space to become comfortable.

There will never be pressure to force your dog into a situation that causes unnecessary distress simply to achieve a photograph.

6. Dogs That Need to Stay on a Lead

Dogs are very welcome to remain on their lead throughout the photography session.

Where appropriate and reasonably possible, leads can be digitally removed from the final photographs.

Please do not remove your dog's lead for the purposes of a photograph if it would be unsafe to do so. The dog's safety is always more important than achieving a particular image.

7. Multiple Dogs

All dogs belonging to the same household are welcome to take part in the session.

Where possible, I will photograph a mixture of individual dogs, dogs together and photographs with their family, depending on the dogs' personalities and how the session develops.

8. Being Photographed With Your Dog

You are not required to appear in photographs with your dog.

However, I may encourage you to have at least a few photographs together, as the relationship you share is an important part of their story.

If you would prefer not to appear in the finished photograph, it may be possible to position you out of frame, blur you or digitally remove you where appropriate.

9. Locations

Except in exceptional circumstances, sessions take place outdoors in carefully selected locations around Sheffield and the Peak District, including beautiful countryside and woodland settings.

The location will be chosen in consultation with you, taking into consideration the time of year, your dog's personality, mobility and whether they need to remain on a lead.

Garden sessions are not normally offered. However, if your dog is seriously unwell, elderly or unable to comfortably travel or walk at one of my usual locations, please speak to me and I will consider what is most appropriate for your dog.

10. Weather & Rescheduling

Outdoor photography is naturally dependent on the weather.

I want to create the best possible photographs for you, so if I believe the weather conditions are unsuitable for your session, we will arrange an alternative date.

The decision to postpone a session because of weather conditions will be made by Rachel Sinclair Photography.

Please do not assume your session has been cancelled because rain or poor weather is forecast. British weather can change very quickly, and I will contact you if I believe we need to rearrange.

11. Peak District Holiday Sessions

If you are visiting the Peak District on holiday, you are very welcome to book a photography session during your stay.

Please contact me as soon as your holiday dates have been finalised so that we have the best possible chance of securing your preferred date.

Where availability allows, we will also agree a backup date during your stay in case unsuitable weather means the original session needs to be rearranged.

I cannot guarantee that an alternative date will be available if weather prevents the session from taking place, particularly where your stay in the area is limited.

12. Cancellation or Rescheduling by the Client

If you need to cancel or rearrange your session, please contact me as soon as possible.

Where reasonable notice is provided (at least 48 hours), I will do my best to arrange an alternative date, subject to availability.

Repeated rescheduling or cancellation at short notice may result in the loss of the session fee or require a new session fee before another date can be booked.

Any circumstances involving genuine emergencies will, of course, be considered individually.

13. Cancellation by Rachel Sinclair Photography

In the unlikely event that I am unable to attend your session because of illness, emergency, unsafe conditions or circumstances outside my reasonable control, I will offer an alternative date.

If I am unable to provide the photography session within a reasonable period, any applicable refund or alternative arrangement will be discussed with you.

14. Your Photographs

Every photography session is unique. While I will use my experience and professional judgement to create a varied collection of beautiful photographs, specific images, poses, expressions or behaviour cannot be guaranteed.

Dogs, children and the great outdoors can all be wonderfully unpredictable — and that is often where some of the most meaningful photographs come from.

The selection of images presented following your session is at the professional discretion of Rachel Sinclair Photography. Images that do not meet my professional standards, including duplicates, test shots, missed focus or unflattering expressions, will not be supplied.

15. Editing & Retouching

All final photographs are professionally edited in the style of Rachel Sinclair Photography that you have viewed on my website.

Editing may include adjustments to colour, exposure, cropping and other enhancements. Where appropriate, I may also remove leads, distractions or other unwanted elements.

Extensive retouching or substantial alterations beyond my normal editing process may incur an additional charge, which will always be discussed with you first.

16. Copyright

Copyright of all photographs created by Rachel Sinclair Photography remains with Rachel Sinclair Photography in accordance with UK copyright law.

When digital images are supplied to you, you are granted permission to use them for your own personal use, including sharing them with friends and family and on your personal social media accounts.

Images may not be sold, commercially reproduced, substantially altered, have filters applied, or be provided to another business for commercial or promotional use without prior written permission from Rachel Sinclair Photography.

17. Use of Photographs by Rachel Sinclair Photography

Photography is the best way for future clients to see and understand my work, and I may use photographs created during your session to promote Rachel Sinclair Photography.

This may include use on my website, social media accounts, portfolio, printed marketing materials, sample products, exhibitions and other promotional material relating to my photography business.

Where a photograph includes a person under the age of 18, I will ask for permission from their parent or legal guardian before using that photograph for promotional purposes.

If you have any concerns about the use of your photographs, please discuss them with me before your session.

18. Children

A parent or responsible adult must remain present and responsible for any children under the age of 18 throughout the photography session.

Parents and guardians are responsible for deciding whether an activity or location is appropriate for their child and for supervising them throughout the session.

19. Safety

Photography sessions often take place in natural outdoor environments, which may include uneven ground, mud, water, rocks, woodland, livestock and changing weather conditions.

Clients are responsible for themselves, their children and their dogs throughout the session and should wear suitable clothing and footwear for the chosen location.

I will never ask you to put yourself, your child or your dog in a situation that I consider unnecessarily dangerous for the sake of a photograph.

20. Artwork & Products

Wall art, albums and other physical products are individually prepared and/or made to order.

Please check all product choices, sizes, finishes, layouts and other details carefully before approving your order.

Because products are personalised and made specifically for you, orders normally cannot be changed or cancelled once they have entered production, except where required by law.

Colours may vary slightly between screens, photographic prints and different materials due to differences in displays and production processes.

21. Product Quality

I carefully select professional suppliers and products that meet the standards I expect for my clients.

If you believe your artwork has arrived damaged or has a manufacturing fault, please contact me as soon as possible so that I can investigate and, where appropriate, arrange for the issue to be rectified.

This does not affect your statutory rights.

22. Personal Information

Personal information supplied when enquiring or booking will be used as necessary to manage your enquiry, photography session, orders and communication with you.

Your information will be handled responsibly and in accordance with applicable UK data protection requirements.

Further information about how personal data is collected, stored and used should be provided in the Rachel Sinclair Photography Privacy Policy.

23. Agreement

Payment of the session fee confirms your booking and your acceptance of these Terms & Conditions.

If there is anything you are unsure about, please ask before booking. I want you to feel completely comfortable about what to expect so that, when the day arrives, you can simply relax and enjoy spending time with your wonderful dog.
